    Executive Assistant Position

    Performs a full range of administrative duties for Executives in the assigned department. Handles departmental responsibilities as appropriate to conserve Executive's time. Actively manages Executive's calendar. Prepares and submits expense reports. Handles all incoming correspondence that does not require Executive's attention. Arranges extensive travel requirements (domestic and international).

    Essential Duties & Responsibilities Required

    • Proactively manage all aspects of Outlook Calendar including setting up meetings, resolving conflicts, coordinating with other admin support to find optimal times for group meetings.
    • Coordinates extensive domestic and international travel including flight, hotel and transportation suggestions, books travel and follows up on detailed itinerary.
    • Manages expense reports, credit card reconcilation, supply orders, etc...
    • Acts as liason for team members to access executive
    • Be a source of guidance for company policies and protocols
    • Books conference rooms and works with IT dept to ensure necessary connectivity for video/voice is set up.
    • Provides general administrative support to ensure Executive's day operates as efficiently as possible.
    • Creates powerpoint presentations.
    • Creates documents in Word.
    • Creates spreadhsheets in Excel.
    • Receives and handles incoming calls and diplomatically screens calls.
    • Takes detailed messages or directs calls to appropriate individual.
    • Responds to priority calls in a timely manner.
    • Anticipates and prepares materials needed by Executive(s)for conferences, correspondence, appointments, meetings and telephone calls.
    • Gathers and prepares data for Executive(s) work projects.
    • Opens and reviews incoming mail, prioritizing and highlighting important dates and times for Executive(s).
    • Collects information and compiles reports using independent resources.
    • Maintains and generates confidential files, reports and records.
    • Able to use relevant computer system applications (which may include spreadsheets, word processors, databases, etc.) at an intermediate level.
    • Performs additional duties as assigned.
    • Maintains high levels of availability.

    Previous Experience (Years & Type):

    • Required Educational: High School/G.E.D.
    • Bachelor's degree is strongly preferred
    • Prior experience working as an Executive administrative assistant is required
    • Advanced MS Outlook Calendar/contacts experience required
    • Proficiency in PowerPoint, Word & and Excel
