Overview

Manages incoming and outgoing mail services, copy center operations, employee shipping, telephone switchboard and receptionists operations, shipping/receiving operations. Records management, liquidation of end of life computer products. Oversees additional responsibilities for the Clearwater campus including the management of convenience copiers, corporate distributions. Manages the personnel required to perform these services. Prepares and maintains operating budget for the Office Services department.

Essential Duties & Responsibilities Required

  • Manages the transfer and retrieval of records to and from storage.
  • Oversees records management service requests with each department so as to ensure that only "official" business records are sent to storage.
  • Coordinates the destruction of records according to the Tech Data Records policies and procedures.
  • Trains record coordinators and providing guidance to ensure record codes are accurately and consistently used.
  • Manages the supervisory functions for Switchboard attendants and reception desk including interviewing, training, scheduling, service observing, service level monitoring, coaching and performing annual reviews.
  • Assures that switchboard and receptionist coverage is adequate to answer 95% of calls within three rings.
  • Staffs and manages copy room operations to ensure timely delivery and complete and quality output.
  • Manages the centralized copier problem call center and copier volume report. Sets up additional user training.
  • Works with vendors as appropriate to ensure processing continues without substantial downtime.
  • Maintains the Tech Data Mail Stop List. Adds new mail stops as required.
  • Manages and staffs mail-room operations, including inbound and outbound mail sorting and distribution.
  • Maintains reporting on problems with the customer address database, provides feedback to credit.
  • Maintains reports on postage costs associated with bad addresses and undeliverable mail.
  • Maintains supply room and inventory.
  • Maintains delivery services at the Clearwater campus.
  • Manages all shipping and receiving operations to ensure timely deliveries.
  • Maintains integrity and security of the area.
  • Manages liquidation and recycling of end of life computer products.
  • Ensures proper destruction.
  • Maintains equipment and service contract files and negotiates with vendors for best service and price.
  • Prepares and maintains an operating budget for office services and monitors performance with budget.
  • Approves all invoices.
  • Performs additional duties as assigned
  • Meets attendance and punctuality standards
