Performs a full range of clerical and administrative duties forExecutives(s)in assigned department. Handles departmental responsibilities as appropriate to conserve Executive(s) time. Schedules meetings for Executive(s) and maintains his/her calendar. Prepares and submits expense reports. Handles all incoming correspondence that does not require Executive(s) attention.

Essential Duties & Responsibilities Required

  • Types all correspondence and prepares special reports and proposals with a high degree of accuracy.
  • Drafts correspondence responses as appropriate.
  • Receives and handles incoming calls and diplomatically screens calls.
  • Takes detailed messages or directs calls to appropriate individual.
  • Responds to priority calls in a timely manner.
  • Anticipates and prepares materials needed by Executive(s)for conferences, correspondence, appointments, meetings and telephone calls.
  • Gathers and prepares data for Vice-President's work projects.
  • Coordinates and schedules calendar.
  • Schedules meetings, arranges meeting locations and refreshments and takes meeting minutes as requested.
  • Arranges and schedules interviews, meetings and appointments.
  • Coordinates travel arrangements for Executive(s) and prepares itineraries for trips.
  • Prepares and submits expense reports in a timely manner.
  • Opens and reviews incoming mail, prioritizing and highlighting important dates and times for Executive(s).
  • Collects information and compiles reports using independent resources.
  • Maintains and generates confidential files, reports and records.
  • Able to use relevant computer system applications (which may include spreadsheets, word processors, databases, etc.) at an intermediate level.
  • Performs additional duties as assigned
  • Meets attendance and punctuality standards

Previous Experience (Years & Type):

  • Some college preferred
  • Required Educational: High School/G.E.D.
  • Experience working as an administrative assistant desired
